DATA-HANDLING NOTICE · UPDATED NOVEMBER 8, 2026

Your documents deserve a clear data trail.

This notice describes the current early-access PortClaim product. It is not a claim of a security certification or a negotiated data-processing agreement.

Public sample

The interactive sample runs in your browser using fictional invoice, agreement and event data. It does not use AI, upload files, or store your edits on our servers.

Contact and early-access requests

Submitting the request form stores your name, work email, company, team type, invoice volume, request type and optional message in the PortClaim database. The purpose is to evaluate and respond to your request. It does not subscribe you to automated marketing or create a paid account. A daily, hashed network identifier is used to limit repeated submissions. No advertising trackers are added by PortClaim.

Private pilot documents

Case records are stored in Cloudflare D1. Uploaded files are kept in private Cloudflare R2 storage. Application requests check the signed-in account and approved pilot access before reading records or downloading files. Pilot sign-in is provided by ChatGPT; passwords are not collected by PortClaim.

AI processing

When you select invoice extraction, that selected document is sent to the OpenAI API. Requests set response storage to false. This does not promise zero provider retention; OpenAI's applicable API data policies and your account settings govern provider handling. Supporting evidence is stored without automatically being sent for AI extraction. Extracted values and source snippets can remain in the saved case for review.

Retention and deletion

Uploaded files and case records remain until deleted from the pilot. The Delete case control permanently deletes its active case record and associated files. The pilot does not yet have an automated age-based retention policy or a verified backup/restore workflow. Public request details are retained for manual follow-up; ask the PortClaim owner through your existing pilot correspondence to correct or delete a request. Before a broad customer launch, an operational privacy contact and formal retention policy must be in place.

Your review and control

Do not submit unnecessary personal or confidential shipment details through the public contact form. Use anonymized documents for an initial discussion. You review extracted facts, legal applicability, calculation assumptions and dispute wording before relying on an output. The product does not send carrier disputes automatically.
